Transport for NSW, Sydney Trains, NSW Trains, State Transit Authority, Sydney Metro and Office of Transport Safety Investigations (Transport agencies) are committed to protecting the privacy of your personal information in accordance with the Privacy and Personal Information Protection Act 1998 (PPIP Act) and the Health Records and Information Privacy Act 2002 (HRIP Act).

What personal information do Transport agencies collect?

By applying to use this portal, you will provide personal information, including: your name, email address, and details about your position and employer.  Over time as you use this portal we will gather records of training courses you’ve completed.

There is no requirement for you to provide your personal information to a Transport agency. However, if you do not provide the personal information requested the Transport agency will not be able to track your completion of mandatory training that may be relevant to your work with Transport agencies.

How do Transport agencies use your personal information?

Transport agencies collect your personal information to administer and manage mandatory training.

In administering and managing mandatory training Transport agencies may use your personal information to: 

  • Monitor completion of training modules
  • Record your declaration of having completed the training modules
  • Email you notifications about training you have completed that has expired, or training that will expire in the future

Who receives your personal information?

Transport agency staff who administer and manage mandatory training will use your personal information to facilitate your training completion.

Transport agencies may engage vendors to assist in administering and managing this portal. Each vendor is required to comply with the PPIP Act and HRIP Act as though they were a Transport agency.

Vendors of Transport agencies will only use your personal information to provide the services the agency is paying them to provide – this is a use of your personal information by the agency. The vendors are not permitted to use your personal information for any other purpose.

Who does TfNSW disclose your personal information to?

Transport agencies have a central team in TfNSW that provides shared services across the Transport cluster. This team will only use or disclose your personal information to a second Transport agency if you transfer to a different Transport agency (even if only temporarily) or if you perform duties for a different Transport agency.

For example, to administer and manage completion of mandatory training Transport agencies may disclose your personal information to third parties in limited circumstances:

  • Your personal details and records of training courses completed are disclosed to the company you are engaged by for the purpose of ensuring you have met all requirements to undertake work with Transport agencies.
  • Your personal details and records of training courses completed may be disclosed to alternate Transport agencies if you are completing, or likely to complete, work for another agency. 

Transport agencies may also disclose aggregated and de-identified information for the purposes of transport policy and planning purposes, transport public funding, and reporting and analysis on overall completion rates and uptake of available mandatory training.   

Otherwise, Transport agencies will not disclose your personal information without your consent or unless permitted or required to by law.

How can you access and alter your personal information?

You may access any personal information that Transport agencies have collected about you. You may also have your personal information corrected if you can establish that it is not accurate, complete or up-to-date.

If you wish to access, correct or remove your personal information held by a Transport agency, and you cannot manually update the information through this portal, then please email lmsadmin@transport.nsw.gov.au.
